No per-user fee · One BAA for everyone

One fax account for your whole office. A login for every person.

A HelpMeFax business account gives each person in your practice, firm or agency their own login, with one shared fax history, one inbox and one prepaid balance. There is no per-user fee: you pay per fax, from $2.99 for 1–5 pages, and a dedicated number is $11.99 a month. One BAA covers everyone.

We review every business by hand before it opens. Personal accounts are unchanged.

How it works

Four steps, all from your HelpMeFax account.

  1. 1

    Apply

Sign in and tell us about the business: its legal name, address and phone number. We review every application by hand and email you the decision.

  2. 2

    Add funds

The owner or a manager tops up the business balance by card. Anything already on the applying account’s balance moves across when you are approved.

  3. 3

    Invite your people

Invite each person by email as a user or a manager. They set their own password, or join with a HelpMeFax account they already have.

  4. 4

    Fax as one business

Everyone sends from the shared balance and sees the business’s faxes. The faxes and numbers belong to the business, not to whoever created them.

What a business account gives you

Shared where it should be. Personal where it matters.

A login for each person

Everyone signs in as themselves, so nobody shares a password and every fax shows who sent it.

One shared balance

The owner and managers top it up by card; users never see a card form. Faxes, received pages and numbers all draw on it, and managers are emailed when it runs low.

A shared inbox

Fax numbers added for the business belong to it. Everyone can read what arrives, and managers choose who gets the new-fax email.

One BAA for the practice

The owner or a manager signs one HIPAA Business Associate Agreement online, at no charge, and it covers everyone in the business.

Audit log and two-factor sign-in

The owner and managers see sign-ins and account changes for everyone, and can require two-factor sign-in for the whole business.

Records stay with the business

When someone leaves, a manager removes them. Their access ends at once, and the faxes they sent stay with the business.

Who can do what

Three roles. The person who applies is the owner, and the owner and managers decide who else is a manager.

Not available for business accounts yet

Plans, and the bulk sending that comes with them, can’t be bought for a business yet, and the business balance has no automatic top-up: the owner or a manager adds funds by hand. We would rather say so here than have you find out after inviting everyone.

Healthcare practices

Faxing PHI needs an executed Business Associate Agreement first. In a business account the owner or a manager signs it once for everyone. How our BAA works.

Common questions

Yes, with a business account. Each person gets their own login, and the business shares one fax history, one inbox and one prepaid balance. A personal account stays one login for one person, and a login is never shared.

No. There is no per-user or seat fee and no limit on how many people you add. You pay per fax, from $2.99 for 1–5 pages, plus $11.99 a month for each dedicated number and $0.05 per page received.

Yes. The owner or a manager requests and signs one HIPAA Business Associate Agreement online, at no charge, and it covers everyone in the business. A BAA already signed on the account that applies moves to the business when the business is approved.

The business. Faxes sent by anyone in it, pages received on its numbers and its numbers' monthly charges all come out of one prepaid balance that the owner and managers top up by card. Users never enter a card, and the owner and managers get an email when the balance runs low.

Yes. Everyone in the business can see, retry and cancel the faxes anyone in it sends, read the faxes that arrive on its numbers, and read and reply to its support tickets. Each fax shows who sent it, and the owner and managers also see the audit log.

The owner or a manager removes them, and their access ends at once. The faxes they sent stay with the business. A login that was created for the business is suspended; someone who joined with their own account keeps it, without the business's records.

Sign in to HelpMeFax, or create a free account, and apply with your business details. We review every application by hand and email you the decision. Once you are approved, add funds and invite your people by email.

If it is a HelpMeFax number on the account that applies, yes: that account's active numbers, its balance and any BAA it holds move to the business when it is approved. Numbers cannot be ported in from another provider.

Not yet. A business balance is topped up by hand for now, and plan discounts, along with the bulk sending that comes with a plan, cannot be bought for a business yet. Faxes are charged at the per-fax prices on the pricing page.
